  1. 01 · Business

A CAF and Patronato service business. Two locations, thousands of practices a year, a community that follows it online.

  2. 02 · Operations

Every practice moves through the same loop: customer, request, documents, processing, status — and back to the customer.

  3. 03 · Complexity

Multiply that by portals, deadlines, languages and staff shifts. Manual coordination becomes the bottleneck.

  4. 04 · System

One operating system: every practice has a state, an owner and a deadline. Staff see the same truth from both offices.

  5. 05 · Automation

Documents are extracted and validated by AI, portals are filled by the extension, customers are notified automatically.

  6. 06 · Scale

Milan and Brescia on one system, an online platform under development, and capacity that grows without adding desks.

Demonstration interface

The real system holds customer data and confidential internal workflows. This interface shows the same logic with synthetic data: practices, statuses, owners and the automation log.

01 · Problem

A service office lives on practices: residence permits, tax returns, family reunifications, pensions. Each one is documents, deadlines, portals and people. Growth meant more WhatsApp threads, more paper and more ways for a file to stall unnoticed.

02 · System

One internal system holds every practice with a status, an owner and a deadline. Documents are collected, extracted and validated automatically. A Procura workflow guides mandates end to end. A browser extension puts customer data inside the portals staff already use. A public homepage and an online service platform — currently under development — extend the same system to customers.

03 · Technology

TypeScript end to end: Next.js interfaces, Node.js services, PostgreSQL on Supabase with row-level security, a Chrome extension for portal automation, and Python for document understanding and AI-assisted extraction. Every automated step is logged and reversible.

04 · Impact

Two locations run on one system. Status is visible without asking. Repetitive administration is measured and automated. The business now scales through software instead of extra desks.
